The Opportunity
This is a great opportunity to work for a leading Audio Visual company as Sales Administrator.
You will provide proactive administrative and commercial support to the sales team, with a primary focus on creating and managing quotations, processing orders, and directly engaging with customers. The role plays a key part in driving sales performance by ensuring opportunities are progressed, followed up, and converted into orders.
Key Responsibilities:
Sales Administration Support
- Provide day-to-day administrative support to the sales team
- Maintain and update CRM system with opportunities, quotes, and client interactions
- Assist with preparation of proposals, tender documents, and client submissions
- Ensure all documentation is accurate, professional, and delivered on time
Quotation Creation Management
- Prepare detailed and accurate AV quotations based on sales input and system designs
- Source pricing from suppliers and ensure competitive, commercially sound costings
- Maintain and update pricing templates and quote formats
- Track all quotations, revisions, and client responses
- Ensure margin control and alignment with company pricing strategy
Customer Engagement Sales Support
- Proactively follow up on quotations with customers to drive conversion
- Engage directly with clients via phone and email to handle queries and provide updates
- Build strong relationships with customers to support repeat business
- Identify opportunities to upsell or add value where appropriate
- Support the sales team in progressing pipeline opportunities
Order Processing
- Convert approved quotations into sales orders accurately and efficiently
- Raise purchase orders with suppliers and confirm pricing and lead times
- Track orders through to delivery and keep customers informed
- Resolve any issues, delays, or discrepancies in a timely manner
- Ensure all orders are correctly recorded and documented
Supplier Internal Coordination
- Liaise with AV distributors and manufacturers for pricing, availability, and technical queries
- Work closely with internal teams (projects, logistics, finance) to ensure smooth order fulfilment
- Support seamless handover from sales to project delivery
- Maintain strong working relationships with key suppliers
Commercial Contribution
- Actively contribute to the achievement of team sales targets
- Support pipeline management through consistent follow-ups and updates
- Assist in identifying and progressing new opportunities within existing accounts
- Provide feedback to the sales team on customer trends and buying behaviour
Based in Dunstable, salary will be circa £30k-£35k p.a. plus pension and benefits.*
Your skills and experience
- You will have strong experience in Sales Administration with excellent organisational skills.
- Clear verbal and written communication with colleagues, clients and suppliers.
- Excellent time management
- Good MS Office skills including Word and Excel
- Strong CRM skills ensuring accuracy in the database
- You will be a good problem solver with great listening skills
- A team player who will ensure good communication across the teams
- Good attention to detail Ensuring accuracy in data entry, reports, and documentation.
- Strong Customer Service skills Handling inquiries and maintaining positive relationships with clients or internal teams.
- Great telephone manner - friendly and persuasive
