The Pass Admin Officer is responsible for the administration of; activating and de-activating access cards, assigning and removing access rights, printing / issuance of access cards for all employees, contingent workers and third-party service providers at a high profile financial institution in the City of Edinburgh.
They must ensure that all processes, guidelines and procedures are followed in compliance of the client's corporate security standards.
Work to consistent high quality standards to ensure data and records accuracy in line with the client's corporate security standards and pass admin procedures.
Key Task Areas and Responsibilities:
- Administration of, activation and de-activation of access cards, assigning and removing access rights, printing / issuance of access cards for all employees, and third-party service providers in Edinburgh,
- Ensure that all processes, guidelines and procedures are followed in compliance of policy,
- Work to a high quality and consistent standard to ensure data and records accuracy in line with the Corporate Security Standards and Pass Admin procedures,
- Operate computer terminal with bespoke software and badge printer,
- Ensure sufficient access control inventory (cartridge, cards, lanyards, etc),
- Conduct daily, weekly and monthly audits,
- Assist employees, contractors, and guests with attaining the appropriate access cards and access rights,
- Identify and report any issues, concerns, risks, abnormalities, faults and or security breaches,
- Recommend improvements to administration and access control management system processes,
- Compile Pass Administrator reports,
- Although the main role is Pass Administrator, as part of the security team, pass admin is required to perform the following duties:
- Cover Control Room duties,
- Respond to incidents,
- Monitor and action emails in the Security group mailbox on outlook,
- Front of house duties,
- Conduct site patrols.
The shifts are normally 12 hours, Monday to Friday day shifts, excluding Bank Holidays. However, as part of a small team you will need to be reliable and flexible to support your colleagues.
An SIA Door Supervision (DS) or Security Guarding (SG) license is essential, and to succeed in this role you will also need:
- Strong customer service skills and experience
- Excellent communication, organisation and interpersonal skills
- The ability to remain calm and professional under pressure
- Experience in a customer-facing role, ideally in security
- Good IT and administration skills
- Five years’ checkable history and references
- To pass a criminal records check (CRC) to the required standards
The following would also be useful, but are not essential:
- A First Aid at Work qualification
- An SIA CCTV (PSS) License
